One of the questions we hear from engaged couples over and over again is, “What does a wedding planner do?” The answer is…it depends. With each local wedding planner, there are usually different packages to choose from: day-of, month-of, partial planning, full planning, design sessions, and more.
But how do you figure out which planner is the right one for you?
First and foremost, you have to decide where you need the most help. Is all of the inspiration on Pinterest overwhelming you? Do you have a clear vision but you’re looking for someone to help guide your decisions? Are you confused about how to maximize your budget? These are all things that a wedding planner can help with.
We sat down and interviewed Priscilla Rose with Priscilla Rose Events to find out more about how the biggest role of a planner is to help educate their clients and help personalize their couple’s big day.
A little bit about Priscilla, the planner. She’s a sassy NYC transplant, a 5’1″ dynamo in Jessica Simpson heels. She is lost without her daily planner and Starbucks keeps her going! She runs her business like she runs her life: full of laughter, style, and personal connections with friends and family. (The champagne and cake are just a bonus!) Her go-to love quote is: “Ever Thine, Ever Mine, Ever Ours” – from the wise words of Beethoven (and Carrie Bradshaw!).
How can a wedding planner help couples who are overwhelmed with ideas?
One of the best parts of my job is helping couples fine-tune their big day. In a recent poll, 70% of Pinterest users claim that they have wedding-themed boards before they’re even engaged! (Shhh, we won’t tell!)
In all honestly, couples don’t need me (or any professional) to tell them their style, favorite colors, or theme for the wedding they have been dreaming of. Where a planner can help is to understand their vision, sort through all the ideas, and help them define a clean and cohesive look.
What I do with my couples is take a look at their inspirations and then create two or three vision boards to help guide them through a focused look and style. Together, we go through the inspiration and then I guide them to the next few steps to make it a reality!
What is one of the most important functions of a wedding planner?
Guidance!
Engaged couples don’t know what they don’t know. They aren’t sure how much things should cost, what to look for, or what questions to ask. A wedding planner should help educate and lead the way to the right professionals and help prepare their clients for each meeting.

The goal is to educate couples, alleviate their fear that they should know the answers, and put real professionals in front of them at the same time!
How can a wedding planner help maximize their couples’ budgets?
One of the biggest parts of my job is helping to eliminate extra work for couples. We begin by taking the time to find out what parts and vendors are the most important to them and then create their budget accordingly. There are certain areas that we can reduce and cut corners if they don’t really matter.
For example, if I have a couple who I know has a limited budget, I would not put on their checklist to hire a calligrapher (unless it’s on the top of their list). These are extra expenses that my client can eliminate, unless I know that is a want for them.
By really getting to know their couples, a planner is able to customize general checklists, to-dos, and vendor lists to the couple. The goal is to prevent that feeling of being overwhelmed with “extras” or feeling like they have missed out on something that may not be in their budget.
What ways can a wedding planner help with venue and vendor selection?
Being a wedding coordinator gives me the opportunity to work with amazing local professionals every week. I learn all about them…their personalities, strengths, pricing, and their perfect clientele.
When your planner is a part of the design and budget conversation and has the opportunity to get to know you, matching couples with the best vendors is simple. One of the biggest benefits of hiring a planner early in the process is you don’t have to filter through the thousands of Central Florida vendors that pop up on a search engine.
My couples don’t have to worry about emailing through website contact forms. I can make a quick call or send a text with the right vendor to check availability and schedule a meeting. I also make sure to share with the professional the details of their day (their date, services needed, fun fact about the couple, and their style).
